Paycom: Extraction and Required Data Guide
Guide users to access Paycom, extract data, and format files for successful setup.
This guide walks you through how to access Paycom, extract the required data, and format files so you can complete your setup successfully.

If not going through Checks embedded setup process DO NOT use the setup@checkhq.com email. Use an email that you have access to.
- Log into Paycom as a User Administrator
- Client Code - Required
- Username - Case Sensitive
- Password
- If PIN creation is required use 1234
- Go to User Options and select User Access and Security
- Select Modify Users and then click Add New Users
- Username: CheckPayroll
- Temporary Password: 123Check!
- Access Group: ALLDEPTS
- Permission Profile: Full Access - Paycom Default
- First Name: Check
- Last Name: Payroll
- Email Address: Setup@checkhq.com
- Click Add

Employee Demographics
- Navigate to the green banner at the top and select Reports → Report Center → Advance Report Writer
- From the dropdown select Employee
- Use the search bar to find and select the following:
- Under Employee Information
- Legal First Name
- Legal Last Name
- Legal Middle Name
- SS Number
- Employee Status
- Address
- City
- State
- Zip Code
- Email (Personal and Work)
- Work location
- Work location Address
- Work location City
- Work location State
- Work location Zip
- Found under Dates
- Date of Birth (MM/DD/YYYY)
- Hire Date
- Termination Date
- On Tab 4: Review and select correct client code (if applicable)
- Generate report in CSV or Excel format
Direct Deposit
- Go to Reports → Reports → Report Center → Advance Report Writer
- From the dropdown select Employee
- Under Employee Information
- Select Employee name
- Direct Deposit Box: Select ALL
- Under Tab 2: Filters
- Filter Type = Status Filter
- Status Filter = Active
- Under Tab 4: Review
- Generate report as an xlsx
Earning Rates
- Go to Reports → Search for: Scheduled Earning Report
- Select ALL earnings
- Select ALL payroll profiles
- Generate as xlsx
Withholdings
- Got to Reports → Advanced Report Writer
- From the dropdown select Employee
- Select the following:
- Employee Information:
- Employee Name
- SS Number
- Payroll Profile Code
- Tax Information:
- Select All
- Under Tab 2: Filters
- Filter Type = Status Filter
- Status Filter = Active
- Under Tab 4: Review
- Generate as xlsx
Deductions
- For Garnishments
- Reports → Report Center → Garnishments
- Output format: xlsx
- By Transaction: Pay Date
- Date Range: YTD
- Employee Filters
- Select client
- Generate Report
- For Deductions
- Reports → Report Center → Scheduled Deductions
- Output format: xlsx
- Select all deductions
- Employee Filters
- Employee Status: Active and Terminated
- Under Labor Allocation: Select all for each section
- Generate report
Historical Payrolls
Closed Quarter
- Go to Reports → Report Center → Labor Allocation Detail Report
- Select XLSX
- Include ALL distributions
- By Transaction/Pay Date: Pay Date
- Select QTD
- Q1 (1/1 -3/31)
- Q2 (4/1 - 6/30)
- Q3 (7/1 - 9/30)
- Selected Clients: Payroll profile
- Employee Filters: Legal Name
- Generate Report
- Go to Reports → Report Center → Labor Allocation Detail Report
- Select XLSX
- Include ALL distributions
- By Transaction/Pay Date: select Historical Transaction
- Historical Transaction is by pay date, multiple pay dates can be selected as needed
- Selected Clients: Payroll profile
- Employee Filters: Legal Name
- Generate Report
Tax Returns:
- Go to Reports → DocVault → Tax Documents
- Click view file next to each Quarterly Tax packet needed
- If starting in Q1, pull the prior quarter's return (Q3 or Q4) to confirm tax information.
- If starting mid-year, pull every closed quarters return in the current year.
Obtaining closed quarter(s) tax filings is required and will allow you to tie out each quarter to ensure balancing with the transfer of historical data.
Tax documents serve dual purpose for setup:
- Allows you to tie out closed quarters in the current year when importing the historical data.
- Provides required information to complete the Tax Parameters.
